Replacement Car Policy

Purpose

This policy governs a paid replacement car program to customers whose vehicles are undergoing service, repair, or warranty work at Wagga Motors. It is entirely separate from the dealership’s Loan Car Policy and carries no free-of-charge component. This program exists for customers who require vehicle access beyond what the Loan Car policy provides – for example, longer repairs or customers who don’t meet loan car eligibility.

Eligibility

Access to a replacement vehicle will be offered where all of the following conditions are met:

  • It is preferred that the customer purchased the vehicle booked for service from Wagga Motors directly.
  • The customer holds a full, valid driving licence.
  • The customer is aged 25 or over (insurance restriction).
  • Customer provides a valid debit or credit card for payment and security deposit purposes

Replacement cars are allocated at time of booking confirmation — not at drop-off. This ensures availability is managed predictably and customers are not disappointed on the day.

Term of Use

  • Minimum period: 3 days. A replacement car cannot be provided for less than 3 days under this policy.
  • Maximum period is 30 days; longer requirements should be referred to the Service Manager for a bespoke arrangement.
  • Charges apply in full-day increments. A vehicle returned early is not eligible for a partial refund of unused days, except at management discretion (e.g. job completed significantly ahead of schedule).
  • The period may be extended in 1-day increments, subject to vehicle availability, by contacting the service desk at least 24 hours before the scheduled return.

Booking Process

To minimise friction for eligible customers:

  • Replacement car availability is confirmed at the time of service booking, not retrospectively.
  • Customers may book via phone, online portal, or in person — a single step within the standard service booking flow.
  • A digital agreement will be provided at pick-up highlighting our terms and conditions  for your authorisation/acknowledgement.
  • The vehicle, located within the Car Service Department will be ready, fuelled, and pre-inspected at the agreed drop-off time.

Customer Responsibilities

The customer is responsible for:

  • Fuel — the vehicle must be returned with the same fuel level as provided. A refuelling charge of the $5.00 per litre fee applies if not.
  • Minor damage — customers accept a $1,000 excess fee on any insurance claim arising during the loan period.
  • Travel limits — a fair-use limit of 150 kilometres per day applies. Excess mileage is charged at 25 cents per kilometre.
  • No smoking, vaping, or pets in loan vehicles. A $600 cleaning charge applies if breached.

Insurance

Loan vehicles are covered under the dealership’s fleet insurance policy, subject to the customer’s eligibility criteria which includes:

  • age 25 years or older, and
  • hold a valid/full licence (not provisional).

NB: Wagga Motors insurance policy does not include any items that are being towed or carried by a vehicle.
